KelenAI (“KelenAI,” “we,” “us,” or “our”) is a founder-led forward-deployed engineering practice. This Privacy Policy explains how we handle information when you visit kelenai.com, contact us, or submit an initial workflow assessment.

This policy covers the public website and pre-engagement communications. Information handled during a paid assessment, pilot, implementation, or ongoing forward-deployed engineering engagement is also governed by the applicable services agreement, statement of work, data-processing terms, and client instructions.

Information we collect

Information you provide

When you email us or use the workflow assessment page, you may provide:

  • your name, work email, company, and role;
  • a description of the workflow you want to improve;
  • the software, systems, or communication channels involved;
  • the operational problem and desired result; and
  • any other information you choose to include in your message.

The workflow assessment form is processed by FormSubmit and delivered to our [email protected] mailbox. The website does not store the submission in its own database. FormSubmit may retain form submissions for up to 30 days to provide delivery and submission-archive features.

Do not include passwords, API keys, customer records, employee records, financial account information, health information, government identifiers, regulated data, or confidential business documents in an initial inquiry. If a later assessment requires sensitive or confidential information, we will first agree on an appropriate scope and transfer method.

Technical and usage information

Our hosting and infrastructure providers may process standard technical information needed to deliver, secure, and troubleshoot the website. This may include your IP address, browser and device type, requested pages, timestamps, referring page, and security or server events.

The website may use local browser storage to remember a display preference. We do not currently use third-party advertising pixels or enable Google Analytics on this website. If we add analytics, advertising technology, or other tracking tools, we will update this policy before or when those practices begin.

How we use information

We may use information to:

  • respond to inquiries and schedule conversations;
  • understand a proposed business workflow and assess whether our services may be a fit;
  • prepare a proposal, assessment, pilot, or other requested service;
  • communicate about requested or active services;
  • operate, secure, maintain, and improve the website;
  • keep ordinary business, tax, legal, and dispute-resolution records; and
  • comply with law and protect our rights, users, and systems.

Submitting an inquiry does not authorize KelenAI to access your systems or use your business data in an AI model. Any access to client accounts, data, software, or AI providers must be separately approved and documented for the engagement.

Forward-deployed engineering engagements

Our work may involve workflow observation, software configuration, system integration, custom code, AI-assisted processing, testing, monitoring, or employee training. Before handling client data or accessing client systems, the parties should define the approved data, accounts, environments, providers, permissions, retention, human-review requirements, and security responsibilities in written project documents.

Client project data is used to provide the agreed services and is not treated as public website content. Project-specific terms control if they conflict with this general website policy.

How we disclose information

We do not sell personal information or share it for cross-context behavioral advertising. We may disclose limited information:

  • to hosting, email, infrastructure, security, and professional service providers that support our operations;
  • when you direct or authorize us to do so;
  • when reasonably necessary to comply with law, legal process, or enforceable government requests;
  • to protect the rights, safety, and security of KelenAI, our clients, or others; or
  • as part of a business reorganization, financing, merger, acquisition, or transfer, subject to appropriate protections.

Third-party products or AI providers used in a client engagement are addressed in the applicable project documents rather than assumed from your use of this website.

Retention and security

We retain inquiry and business-contact information only as long as reasonably necessary for the purposes described above, including follow-up, business records, legal obligations, security, and dispute resolution. Retention for client projects is governed by the applicable agreement and client instructions.

We use reasonable administrative and technical safeguards appropriate to the information involved. No internet transmission, email system, or storage method is completely secure, so sensitive information should not be sent through the initial assessment email.

Your choices and privacy requests

You may choose not to send an inquiry. You may also ask us to access, correct, or delete personal information you have provided, subject to identity verification and any legal, security, contractual, or operational retention requirements.

Depending on where you live and which privacy laws apply, you may have additional rights. We will evaluate verified requests under applicable law. We do not discriminate against anyone for exercising a legally protected privacy right.

Because this website does not currently sell or share personal information for behavioral advertising or conduct cross-site advertising tracking, browser Do Not Track and Global Privacy Control signals do not change the website’s current behavior. We will revise this disclosure if those practices change.

Children

This website and our services are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information from children through this website.
